If you’ve been reading our blog for a while, you know that there are ways to make Salesforce work with your electronic fax solution, most notably by sending faxes using simple Workflow Rules. This is a great first step to automating what used to be a frustrating and time-consuming process, but it can only take you so far. Fax machines are a thing of the past. Nowadays, most of us send documents electronically via email. Simply find your attachments, add them to your email, write up a message (or cover letter, if you will), and push send. Knowing this, Salesforce and popular apps such as Conga Merge have tons of great features built in to make sending emails a breeze. But if your clients still rely on fax (that’s SO 1995!), you’re going to have to waste tons of time and paper doing things the old way, and you won’t get to leverage the awesome tech your system has to offer. Not true! With electronic fax technology, sending a fax is as easy as sending an email from Salesforce!
It’s easy to start using eFax with Salesforce. If you don’t already have an electronic fax service, sign up with any of the popular companies, such as eFax. After that, you’ll want to create a new Email field on Salesforce called eFax. Create a Workflow Rule to update the eFax field in the format provided by your eFax solution any time a fax number is added or updated (ex. 18187437638@efaxsend.com). Now you’re ready to save time and go green sending faxes straight from Salesforce. Use email templates, workflows, and any other email tools you have in your arsenal. With an electronic fax account, you can automate faxes just as easily as you automate emails!
