Tip of the Week – Use Permission Sets to Keep Your Data Safe

Though it can be a sensitive subject to tackle, sometimes restricting data access to your users is necessary for security and confidentiality, not to mention peace of mind. Whether the user is new, leaving the business, or any other reason, there is an easy way to disable the user’s ability to export reports in Salesforce.

To do this, start by creating a Permission Set with the “Export Reports” setting checked. Next, remove the “Export Reports” permission from the profile assigned to the user. Finally, assign the Export Reports permission set to all users who should have the ability to Export or Print Reports. Just like that, you can give yourself greater control of your data and how it is shared. Tip of the Week – Improve your sales numbers with one custom Salesforce field

Your business relies on sales. At the end of the day, nothing is more important than closing that Opportunity, but not every sale is won. You have a great sales team, but it is still important to understand why a deal doesn’t close so that you can learn and improve your process going forward. You may discuss why a deal doesn’t close, but if that information isn’t being stored somewhere, it isn’t going to help much.

The solution for this is simple and quick. All you need to do is create a new picklist field on Opportunities and/or Leads labeled “Reason Lost”. Find out the most common reasons for lost deals from your team and make sure they are represented in the picklist. You can now use this field to create Reports and Dashboards that include the new data. The longer you capture this information, the more visibility you will have into the reasons why deals don’t close, allowing your team to shift their focus to better quality deals.

Tip of the Week – Use Salesforce Workflows to Streamline Your Sales Process

A brand new lead is different from a lead you’ve been grooming for a few weeks. The information you collect on the first call can help you qualify the lead, but some of that information can be irrelevant when they are showing interest in specific products or after the deal closes. Having every field needed for every stage of a deal on one page can get messy, especially when there are multiple departments involved. Wouldn’t it be great if the page layout changed based on the stage of the lead, focusing on the most important information? Salesforce has you covered!

To optimize your page layouts, all you have to do is create multiple Page Layouts and Record Types for whatever object you want to customize. Create a new Page Layout to correspond to each new Record Type and assign them accordingly, taking into consideration the Profiles that they are being assigned to. Next, create workflow rules to update the Record Type based on your desired criteria, such as Status or Stage. Now, when your users update their records, the page layout will update to display the information they really need to see to make better decisions and generate more revenue!
