As the office Salesforce superhero, you’ve put a lot of work into making things as streamlined and automated as possible, and you take a lot of pride in your work. Your team loves those automatic emails that go out when they make certain updates to their records, letting them move on with their day, but I know how frustrated you are when you find out that one of those emails is consistently going to spam. Well, here are a couple very simple pointers that you can implement today to help get your emails past spam filters and into customers’ inboxes.
To start off, there are certain words to avoid in your subject lines, such as having things like “alert”, “notification”, “approved”, or dollar signs. Additionally, avoid subjects with all capitals. If you’re using fancy HTML emails, be sure your HTML code is clean and as simple as possible. Perhaps most important, read, reread, and have others read your automated emails – if someone on your side feels it looks like spam, clients may flag it, increasing the possibility of your emails going to spam in the future. Bulk emailing from Salesforce can be a real time saver. Without the need for an email marketing tool, you can reach out to hundreds of customers simultaneously using personalized email templates. But there are a few limitations. You can only bulk email 500 Leads or Contacts at a time, and you can only send bulk emails to up to 1,000 Leads or Contacts daily. If you need more, you’re going to need an email marketing tool, but that can be expensive, and might be overkill for your needs. Unless you check out Unlimited Email.
This application can be used to send unlimited emails to contacts and leads etc including any standard objects or custom objects in salesforce.

A couple weeks back, we shared with you a solution for removing the pesky “from Salesforce” tag which has the nifty side-effect of dropping your emails sent from Salesforce into your Google Apps Sent folder. Since then, I keep getting the question, “how do I see the emails I sent from Salesforce in Outlook if I don’t have Google Apps?” This week’s solution won’t put the emails in your sent folder, but it takes seconds to set up and serves the purpose just as well.
It may not be as nice as having it in your Sent folder, but getting Bcc’d on emails from Salesforce allows you to keep track of communications sent from Salesforce within Outlook or your email client of choice. Depending on your org, go to either Setup -> Personal Setup -> Email -> My Email Settings or Name -> My Settings -> Email -> My Email Settings. Turn on Automatic BCC and click Save. Now you’ll be automatically copied on all emails you send from Salesforce and can add filters to move them wherever you’d like. It couldn’t be easier!

While everyone needs to be involved, not everyone needs to be updated every time something happens. Giving the right people the right updates at the right times is crucial to effective teamwork. It can be a challenge, but it doesn’t have to be complicated. Did you know you can send Workflow Email Alerts to specific members of a team?
If you’re a Salesforce veteran, you may not know about this relatively new feature. It used to be impossible to target email alerts to team members based on their role in the team. To meet your teams’ needs, you may have created crazy dashboards, custom fields, and loads of Workflow Rules. Nowadays, the process is much easier. Create a workflow to trigger an email alert and select which team roles should receive an email. Now team selling and support is a breeze! With this new tool in your arsenal, maybe it’s time to implement Account, Case, and Opportunity Teams in your Salesforce org!
