App of the Week – This free Chrome extension brings Salesforce Dashboards to a new level

Salesforce Dashboards rock! Take data from multiple Reports, visualize that data with easy-to-understand charts, then put them together on one page, all with a simple drag-and-drop interface. Dashboards let you get the pulse of your business at a glance. But there are some notable limitations. For example, you can only have 3 columns on one Dashboard, and automatic refreshes can’t happen more than once daily. If you need to see more data at once and need up-to-the-second information, you need to check out this awesome Chrome Extension!

Salesforce only allows you to refresh Dashboards daily, weekly, or monthly. With Enhance Salesforce Dashboard, you can now have “up to the second” real time information. Use options to set auto refresh frequency/duration.

Tip of the Week – Learning from your converted Salesforce Leads

Leads are the standard starting point of all sales in Salesforce. Leads come in by the droves from the web, purchased lists, trade shows, and more, and your team works like mad to qualify and convert those leads into real opportunities, and better yet, sales. But the value of your leads doesn’t stop once they’re converted. If you learn how to leverage data from all your leads, even the converted ones, you can move beyond the mad rush and find ways to target the most valuable leads for even more closed deals.

Accessing data from converted Leads can seem foreign if you’re new to Salesforce, as you can’t access them from standard list views or even links, but it is actually quite simple. Using a standard Leads Report, you can view all Leads which have come through your pipeline. Add the “Converted” standard checkbox, summarize that field, group by Lead Source, and add a chart showing % converted by Lead Source to see which channels are bringing you the most qualified Leads. Using the standard Leads with converted lead information Report brings in Opportunity data for any of those Leads which have converted, so that you can now see both conversion percentage, and average and total amount won for any related Opportunities. Add custom formulas to give you even more valuable info, get creative, and soon you’ll be able to leverage this data to direct your team towards the most valuable Leads!

Tip of the Week – Deciding between Master-Detail and Lookups in Salesforce

So you’ve finally decided to take the leap and create a custom Object (or more ambitious, an app) in Salesforce? Congratulations! Since you’re probably going field-crazy already, don’t let me stop you, but I would like to jump in and give you some practical advice. One of the most critical decisions you’re going to make in development of your Object is how it should be related to other Objects in Salesforce, and many budding admins and developers are at a loss when it comes to choosing between a Lookup and a Master/detail relationship. Here are some guidelines which should help you make that decision.

The primary difference between Lookups and Master/detail relationships is one of depth. Master/detail relationships are deep connections, and as such, a value is always required for that field. There is no such thing, for example, as an Opportunity Product without an associated Opportunity, and so that would be Master/detail. This deep connection allows you to do things like create Rollup Fields to count and summarize data from the child objects on the master. Alogn with Rollups, Master/detail children inherit their permissions from their parent, and if you delete the parent, all children will also be deleted. But because of the depth of the connection, you can only create Master/detail relationships that go so deep – you can only have up to three detail levels. Lookup Relationships are looser – they’re not required by the system, they can look up to other records on the same Object, and you can go as deep as you want. But with this flexibility comes limitations. There are no standard Rollup features on Lookup relationships, so if you need rollups, you’ll need code or a 3rd party app to do the job.
