Tip of the Week – Simplifying Fixes for Privilege Errors

There you are, working away, when you try to open a critical file or folder and BAM! You get the dreaded error message that you don’t have sufficient privilege to access the content. Workflow stopped. Losing time. Now you have to stop what you are doing and figure out why the error happened and get permission. For a quick shortcut to determining the solution, take a look below at the flowchart provided by Salesforce.

The Breakdown:

If you’re an end-user, you should determine if you have access to other records of the same object. There will be two possible outcomes:

  • You do have access to other records: For example, you have access to Account record A but not Account record B. Contact your administrator or the record owner to request access.
  • Don’t have access to other records of the same object: Contact your administrator to request access.

If you’re an administrator, first determine if the end-user has read access to the record.

  • The user does have read access: Grant more access using sharing rules or the role hierarchy. Also, use of the Sharing button on the record detail page grants one time access which can be easily removed later.
  • Don’t have read access: Grant read access using a profile or permission set.

To avoid many of these issues when working with reports, remember to share report folders with your end users, so that all of the reports you build will be accessible when they are needed.

At the end of the day, if you receive an Insufficient Privileges error, you will need permissions to be changed, but using the above steps, you should have a quick and easy way to determine the specific problem, and even better, the solution.

If you’ve been using Salesforce for a while now, you probably have built dozens of Workflow rules to streamline your processes and help your team accomplish more every day thanks to powerful and easy to build automations. Occasionally, you’ve probably come across that pesky rule that just won’t work the way you intended, and you may have been able to problem solve thanks to the video we shared with you a couple years ago. But if you’ve got time-based workflow rules, sometimes you need another tool in your arsenal to resolve issues, and I’d like to point you to one you may not know about.

Because time-based workflow rules don’t act immediately, they can be difficult to troubleshoot. You’d normally have to wait until the scheduled time before you see them acting as intended. Well, Salesforce offers a tool out of the box to help you monitor when time-based workflows have been triggered and are scheduled. This will let you see important information, assisting you in confirming everything is in order. All you have to do is go to Setup -> Monitor -> Time-Based Workflow, or type Time-Based Workflow into the Quickfind. Click Search to see all pending actions, or add filters to drill down to exactly what you’re looking for. It’s been a while since I’ve advised you to brew a cup of coffee before reading one of our posts, but that might not be a bad idea this week. Don’t panic though. This one is relatively easy – all you have to do is put on your thinking cap and watch a quick 5 minute video!

Workflow rules are the key to automating your Salesforce org. With Workflows, you can create Tasks, update values (including Record Type), send Emails, and more. When you’ve gotten used to an automated system, you come to rely on Workflows on a daily basis, and when something isn’t working right, it can be very frustrating, and can lose you time and money.
